V.PS Privacy Policy

This privacy policy explains how V.PS collects, stores, uses and discloses personal data when you use our website and services. The data controller is xTom OÜ, registry code 14611015, Sepapaja tn 6, Tallinn, 15551, Estonia, which provides its services under the V.PS brand; in this policy, “V.PS”, “xTom”, “we”, “us” and “our” each refer to xTom OÜ. V.PS processes personal data in accordance with the laws of the Republic of Estonia and the legislation of the European Union, including the General Data Protection Regulation (GDPR). V.PS collects personal data in order to contact customers and to fulfill their orders; the data collected is limited to what is necessary for that purpose, and its security is safeguarded in accordance with applicable law.

What data we collect

Orders can only be placed through a registered client account. When you register an account to order VPS and cloud servers, we store your personal identification information: your full legal name, postal address, telephone number and e-mail address.

For domain name and SSL certificate orders, you may also be asked to provide your legal name, personal identification code, date of birth, postal address, postal code, telephone number and e-mail address.

V.PS does not share or disclose personal data to third parties unless doing so is necessary to complete your order (for example, transmitting domain holder information to the registry when registering a domain name).

V.PS uses your contact information only to provide information about the Service. Contact details are not passed to third parties for marketing purposes.

How we use personal data

We use the personal data we collect to communicate with you, including notices of service changes and payment matters. The address stored on your account is used automatically as the invoicing address. You have the right to opt out of newsletters at any time.

Personal data collected for domain name and SSL certificate orders is transmitted automatically to the relevant registry or certificate authority over secure channels in order to complete the order. Note that domain holder information is generally public in the registries of many top-level domains.

Changing your data

You can view the information stored about you in the V.PS client area and modify all of it yourself.

If your account is restricted from editing its details, or you need a change we can only make manually, complete the Account Information Change Request Form and send it to [email protected].

You can also request that your account be deleted and your data erased. V.PS is required to retain certain data for legal and tax purposes, but will remove as much of your information as possible: we will close your client profile, terminate your services, clear your change logs, e-mails and tickets, and delete all non-billing data.

How we protect personal data

V.PS takes appropriate technical and organizational measures to protect personal data. Access to data processing, editing and records is restricted to authorized, trained personnel.

V.PS will not disclose personal data to third parties except where the law requires it.

Marketing

V.PS would like to send you information about our products and services that we think may interest you. If you have agreed to receive marketing, you may opt out at any time; you have the right at any time to stop V.PS from contacting you for marketing purposes. To opt out, please open a ticket.

Your data protection rights

V.PS wants to make sure you are fully aware of your rights under data protection law. Every user is entitled to the following:

The right of access - You have the right to request copies of your personal data. The first copy is provided free of charge; we may charge a reasonable fee for requests that are manifestly unfounded, excessive or repetitive.

The right to rectification - You have the right to request that V.PS correct any information you believe is inaccurate, and to request that V.PS complete any information you believe is incomplete.

The right to erasure - You have the right to request that V.PS erase your personal data, under certain conditions.

The right to restrict processing - You have the right to request that V.PS restrict the processing of your personal data, under certain conditions.

The right to object to processing - You have the right to object to V.PS’s processing of your personal data, under certain conditions.

The right to data portability - You have the right to request that V.PS transfer the data we have collected to another organization, or directly to you, under certain conditions.
